Terms and Conditions

Version 2026-08-28-v4 · Effective 28 August 2026

Business service. Travel Desk is designed primarily for independent travel professionals using it for business purposes. If consumer law applies to a particular transaction despite that business focus, nothing in these Terms removes rights that cannot lawfully be excluded.

1. The operator and contract

Travel Desk is operated by Matthew King trading as Travel Desk, a UK sole trader. Business/service address: Suite RA01, 195-197 Wood Street, London, E17 3NU, United Kingdom. Contact: support@traveldeskshop.com.

These Terms govern the Travel Desk website, account, trial, subscription and enabled business tools. The Privacy Policy, Cancellation Policy and, where you supply client personal data for processing on your instructions, the Data Processing Terms form part of the contractual framework.

2. Eligibility and account security

3. Trial, plans and billing

4. Cancellation and renewal

You can use the available subscription-management route to cancel future renewal. The effect and timing of cancellation, refunds and any rights that apply are described in the Cancellation Policy and information shown at the relevant checkout. A blanket "no refund" term does not override mandatory statutory rights.

5. Acceptable business use

You must not use Travel Desk unlawfully, attempt unauthorised access, interfere with service security, misuse connected-platform credentials, upload content you do not have permission to use, or use the service to mislead consumers. You remain responsible for checking the accuracy, legality and suitability of material you approve or send to clients.

6. AI and generated outputs

AI-generated content can contain errors, omissions or inappropriate suggestions. Generated outputs are drafts/tools, not legal, financial, medical or regulated travel advice. You must review outputs before relying on, publishing or sending them. You are responsible for having an appropriate lawful basis and authority for personal information you put into an AI-enabled feature.

7. Connected platforms and suppliers

Features may integrate with services such as Stripe, OpenAI, Postmark, Facebook, Instagram, TikTok, Make.com and, if Agent Club commerce is activated, selected fulfilment/connectivity providers. Provider presence in the codebase or provider register does not mean that every provider, transfer route or commercial feature has been approved for live use. Their availability, policies and own terms may affect the feature. Travel Desk does not obtain rights to act outside the permissions you grant.

8. Agent Club, partner offers and advertising disclosure

Agent Club is intended to provide agent-first benefits rather than replace travel products on which an agent may earn host/supplier commission. Partner or affiliate offers with a commercial relationship must be clearly identified as advertising/affiliate content where required. Travel Desk does not guarantee that a listed third-party offer will remain available.

9. Agent Shop

The Agent Shop is currently capable of operating in a Preview state. Browsing is not an offer to supply where ordering is disabled. Live ordering must remain blocked until Travel Desk has completed the owner legal-activation checklist, completed the fresh ICO fee assessment required for the live-trading position, deliberately approved UK commercial activation and separately approved Agent Shop live legal activation. The verified business/service address is already configured and published.

When personalised merchandise is eventually enabled, the pre-contract information shown before order/checkout must identify the seller, the total price and delivery charge, key fulfilment information and applicable cancellation/return terms. Agent Shop physical delivery is restricted to United Kingdom addresses during the UK launch. Digital Agent Club purchases use the same legal acceptance and paid-checkout gate before an order can proceed. A personalised/custom-made product may fall within a change-of-mind cancellation exception, but that does not remove rights relating to goods that are faulty, damaged, not as described or otherwise protected by law.

10. Intellectual property

Travel Desk and its software, branding and platform materials are protected by intellectual-property rights. You retain rights in content you lawfully provide. You grant Travel Desk the limited rights needed to host, process, transform and transmit that content to provide the requested service and connected features.

11. Confidentiality and client data

Business and client information should be treated as confidential where its nature requires. Where Travel Desk acts as processor for client personal data, the Data Processing Terms apply. Travel Desk is not intended as a repository for unnecessary special-category health or disability information; data minimisation applies. Do not use the service as a repository for information that the enabled feature does not need.

12. Service availability and changes

Travel Desk may maintain, improve, suspend or retire features for security, provider-policy, legal or operational reasons. Material changes affecting paid functionality will be handled reasonably and with appropriate notice where practicable. No uptime certification or external assurance standard is promised unless Travel Desk expressly provides a current independent report.

13. Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for fraud or fraudulent misrepresentation, death or personal injury caused by negligence, or mandatory statutory rights. Subject to those exclusions, for business users Travel Desk's aggregate contractual liability arising from the service will not exceed the fees paid by that customer to Travel Desk in the 12 months preceding the event giving rise to the claim. Neither party is liable for indirect or consequential loss to the extent such exclusion is lawful. This section does not remove remedies that cannot legally be limited.

14. Suspension and termination

Travel Desk may suspend access where reasonably necessary for security, abuse, non-payment, legal requirements or serious breach. You may stop using the service and cancel future renewal using the available account/billing controls. Data handling after termination is governed by the Privacy Policy, Data Processing Terms and retention obligations.

15. Launch jurisdiction

Travel Desk's initial commercial launch is limited to the United Kingdom. A person may be able to view public material from elsewhere, but that does not mean Travel Desk has activated paid services or consumer commerce for that jurisdiction. EU/EEA, US, Canada, Australia, New Zealand, Singapore, Brazil, India and other non-UK commercial launches require a separate owner legal/regulatory review and explicit activation.

16. Governing law and disputes

For business users, these Terms are governed by the law of England and Wales and the courts of England and Wales have jurisdiction, subject to any mandatory rule that gives a person a right to bring proceedings elsewhere. Before litigation, both parties should try to resolve the issue through the existing support/complaint process where appropriate.

17. Changes and acceptance evidence

New registrations must explicitly confirm acceptance of the current Terms and acknowledgement of the current Privacy Policy. Travel Desk records the applicable document versions in the existing audit trail. Material contractual changes may require renewed notice or acceptance rather than being applied retrospectively without a lawful basis.
